INSTRUCTIONS FOR BOOKING INTERSKI 2023 CONGRESS PACKAGE AND BOOKING CONDITIONS
1. Start from CONGRESS PACKAGE BOOKING to ensure your accommodation.
You can also add meal plans at this stage according to your preference.
The congress packages and accommodation are sold in booking order.
Congress package booking tool does not allow changes after confirmation.
If you want to book another congress package/meal option later, you can enter the congress package booking tool again and choose the options you’d wish to book.
In this stage you can book your congress package and meal options i.e. lunch in Panorama, dinners and breakfast (if you’re staying in apartments). You can also book congress package without accommodation if you prefer.
If you have special requests with additional dates or a wish for upgrades (suite etc), please book the normal package first and inform us your additional request in the open text box.
We'll send you an offer according to your special request.
If you have completely differing dates and you wish not to ensure accommodation on any of the congress package choices, you can send us an email: interski2023@visitlevi.fi.
2. After booking your congress package, please continue to REGISTRATION FORM.
You'll see instructions on how to do the registration when you start filling in the form.
You can update your information and add details until 15.1.2023.
Please note however that you’ll need to inform at least your name, participant type, email and phone number via the registration form by 31st October 2022.
You’ll get a link to the registration form in the confirmation email after booking the congress package.
You can also access the registration form through Interski2023 -webpage.
Excursions available for VIP guests and for the afternoon 29th March will be offered later.
We'll inform you when you’re able to book the excursions.
Please note that you need to be a party accepted by the Interski Organization to be entitled to book a congress package.
LOC reserves a right to cancel a booking if it has been done by a party that has no right to book.

BEFORE BOOKING THE CONGRESS PACKAGE
Congress packages are for 7 nights for fixed dates 25.3.-1.4.2023.
Package dates are fixed and cannot be changed.
Please decide before booking the congress package for how many persons you are making the booking and if you are booking for a group; how many persons are staying per hotel room/ apartment.
Please note that you’ll need to book the whole room/apartment.
Thus the prices in the booking tool are shown according to the room/aparment size, e.g. 5 person apartment total 867€ x 5 = 4335€.
At the time of booking, 50% of package price/person is to be paid.
You can choose to pay with credit card (Visa, Mastercard, American Express) or invoice.
MobilePay and Online banking are available with Finnish banks/credit cards.
If you want an invoice to your company/association, please be prepared to give the following details:
company/association name, postal address and tax registration number (Y-tunnus, business ID).
We'll send the final invoice to you after 31.10.2022.
You can download a more specific room list with attendants' names later through the REGISTRATION FORM.
Please note all accommodations are confirmed on booking order according to availability.

BOOKING POLICY
Lapland Productions Oy is not responsible for any changes that occur after the publication of these terms and conditions, beyond our control. Lapland Productions Oy reserves the right to make changes.
LOC holds the right to adjust prices, if there is a clear pricing mistake (prices do not correspond to standard level) or make changes to accommodations if the minimum number of persons in each apartment is not met and in case of force majeure. In cases of force majeure, or other cases outside the control of the LOC, LOC can change the accommodation to another similar type of accommodation.
The accommodations are confirmed in booking order.
Please note LOC cannot guarantee availability for a certain type of accommodation.
50% of package price is due at the time of booking.
The final payment invoice will be sent to you after 31.10.2022.
This payment is due to be paid within 14 days.
The congress package is for fixes dates 25.3.-1.4.2022.
Please note that the congress package has a fixed price for 7 nights.
It is not possible to get partial refund from the congress package from sections you do not use (e.g. airport transfers or ski pass).
You’ll need to inform us these participants through REGISTRATION FORM by 31.10.2022
We take all refunds according to number of demo team members and participants into account in the final invoice.
Half of the demonstrators per nation with a maximum of five per nation, as well as one additional participant for every fifteenth paying participant (every 16th participant) goes free.
The participant's fee of € 90 per participant has to be collected by the Organizer together with the package price and must be transferred to INTERSKI. Accordingly, the organizer will collect only the participant's fee of € 90 from those participants who get free places.
90 € participant fee is included in the congress package price.
Refunds are given from the least expensive choices in your group’s invoice.
Refunds cannot be granted from additional days or from upgrades (suites etc).
Payment:
You can choose to pay with credit card (Visa, Mastercard, American Express) and invoice.
For Finnish credit cards/banks also MobilePay and online banking are available.
Invoicing fee is 10€/invoice.
If you wish LOC to divide your group’s invoice to multiple parties, invoicing fee is 25€ per invoice.

CANCELLATION POLICY
All cancellations need to be done in writing and send to address: interski2023@visitlevi.fi.
Not paying the invoice is not considered cancellation.
50% of package price is due at the time of booking.
The final payment invoice will be sent to you after 31.10.2022.
This payment is due to be paid within 14 days.
Cancellation from confirmation date until 31.10.2022:
Cancellation fee is the reservation fee (100€ /person).
The remaining amount of the package price paid will be refunded.
Cancellation starting from 1.11.2022:
It is not possible to get a refund from the congress package.
Cancellation fee is 100% of the congress package price.
Cancellations due to COVID-19: Normal terms of cancellation apply.
We recommend all travellers to have a travel insurance that would cover travel cancellations and possible additional costs due to any changes in travel plans.
Updated 25.8.2022:
In cases of force majeure, or other cases outside the control of the Lapland Productions Oy (e.g. fire or water damage), the Lapland Productions Oy may cancel the booking. In such an unfortunate case if we would need to cancel the event (starting from 1.11.2022) due to circumstances not in our control, we will keep the costs incurred to us and any costs we have needed to pay to third parties and cannot get reimbursed. The rest of the package price paid will be refunded. Lapland Productions Oy has the right to cancel the booking if the payments concerning the booking are not paid by the due date.

CHANGES
It is not possible to make changes to the congress packages.

ACCOMMODATION
The congress package prices include hotel accommodation and apartment accommodation options.
Hotel rooms are for 1 -4 persons . Apartments vary in size for 1-18 persons.
Apartments included in the congress package offer are for 5-18 persons.
In addition to these apartments, LOC offers other options varying from studios to cabins available, so you’ll surely find a good choice for your stay.
PLEASE NOTE THAT it is recommended that members from each country would accommodate in the same location (or close to each other). For this reason, please note that you’ll need to book the entire room/apartment.
If you are a bigger group, we would recommend you to book an apartment for your whole group, so that you can stay together.
Hotel accommodation:
Levi area has many nice hotel options. All hotels are with central location.
You can book a room for 1-4 persons.
Hotel accommodation includes breakfast.
Apartment accommodation:
All apartments include sauna, kitchen, bed linen and towels (brought to cabin).
Most of them include also a ski storage/maintenance space and washing machine.
All apartments are with central location, within walking distance from slopes and Levi centre.
Congress package offer includes apartments with Levikaira, Levilehto, K5 Villa Apartments and Alpine style chalets. In addition to these, we have also other apartments, studios and semi-detached house offers available.
The apartments/ cabins are a perfect choice for a bigger group. And a great possibility to enjoy your stay here in Levi Finnish style!
Your hotel room will be at your disposal by 4:00 pm and your apartment by 5:00 pm on the date of your arrival.
Please note that smoking is forbidden in all accommodations.
Following check-out, if the accommodation has not been cleaned in an acceptable manner, the owner or maintainer of the property has the right to charge the cleaning fee afterwards. The cleaning fee can be doubled if the apartment is left in a particularly untidy condition.
The customer is obliged to compensate the property owner directly for any accidental or purposeful damages caused to the holiday apartment or its furnishings and fittings during the rental period. Any damages caused must be immediately informed to the maintainer of the property or to Lapland Productions Oy.

SPECIAL REQUESTS
Congress packages are for dates 25.3.-1.4.2023. It is not possible to change the dates of the congress package.

MEALS
You can choose to include meal package for lunch, dinner or both to your reservation for all attendants.
Hotel accommodation (Sirkantähti, Hullu Poro, Spa Hotel, Sokos Hotel, Panorama) already includes breakfast.
The ones accommodating in apartments can also add a breakfast option in a nearby hotel for their package.
The breakfast and dinner packages will be served at the same hotel during your whole stay.
If you don't know yet if everyone will have meals, you can buy meal options also later by making a new booking through the congress package booking tool.
For meal packages same cancellation policy applies as with the main congress package. See more details under CANCELLATION POLICY.

ADDITIONAL EXCURSIONS
There will be special excursions for VIP guests during the week and congress participants in the afternoon 29th March.
Excursions include for example husky rides, snowmobile safaris and skiing trips to Ylläs and Pallas.
LOC will inform when the excursions will be added for booking.
